1. Introduction

Sendqube is an email marketing and cold outreach platform that helps teams manage contacts, build sequences, send campaigns from their own mailboxes, and track results. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using Sendqube at sendqube.in, you agree to the practices described here.

2. Information We Collect

We collect the following categories of information:

  • Account data — your name, email address, password hash, workspace, and role.
  • Contact lists you upload — the contacts you import (name, email, company, custom fields, tags) so you can send campaigns to them.
  • Campaign content — sequences, templates, subject lines, email bodies, schedules, and enrollment records you create.
  • Mailbox configuration — SMTP host, port, username, and encrypted password; Gmail OAuth tokens for accounts you connect.
  • Usage analytics — feature usage, logs, IP address, browser type, and error diagnostics that help us run the product.
  • Cookies — essential cookies that keep you signed in and privacy-friendly analytics cookies described below.

3. How We Use Information

  • Provide, operate, and maintain the Sendqube service.
  • Send emails and sequences you compose through your connected Gmail or SMTP mailbox.
  • Track opens, clicks, and unsubscribes for the campaigns you send.
  • Protect against abuse, spam, and unauthorized access.
  • Improve product features, reliability, and support.
  • Communicate with you about product updates, security notices, and billing.

4. Google User Data

Sendqube offers an optional Gmail integration. We request four Google OAuth scopes:

  • gmail.send — used solely to send emails and sequences the user composes in Sendqube from their connected Gmail address, only on the user's explicit action.
  • gmail.modify — used for two specific, narrow purposes: (1) detecting replies to outreach sequences, so Sendqube can automatically pause further follow-ups to a contact who has replied; and (2) if a workspace opts into the Email Warmup feature, marking Sendqube's own warmup test messages as read and removing them from Spam. Sendqube only reads or modifies the specific messages involved in these two workflows.
  • userinfo.email and openid — used only to identify which Gmail address was connected.

Outside of sending sequence emails, detecting replies, and (if enabled) warmup, Sendqube does not browse, download, or store the general contents of your Gmail mailbox — we do not access your drafts, your Google Contacts, or any message unrelated to these workflows.

OAuth tokens are encrypted at rest and never shared with third parties.

Revocation. You can disconnect your Gmail account at any time in Settings → Mailboxes, which permanently deletes the stored token from our systems. You can also revoke Sendqube's access from your Google Account at https://myaccount.google.com/permissions.

Sendqube's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Data Storage, Security, Retention & Deletion

Your data is stored on managed cloud infrastructure inside encrypted databases. SMTP passwords and Google OAuth tokens are encrypted at rest using authenticated encryption. All traffic to and from Sendqube is served over HTTPS/TLS.

Access to production systems is restricted to authorized personnel and audited. We use least-privilege access controls and strong authentication for internal tools.

Retention. We retain your account, campaign, and contact data for as long as your workspace is active. You can delete contacts, sequences, templates, and mailboxes at any time from inside the product.

Deletion. When you close your account we delete your workspace data within a reasonable period, except where retention is required for legal, accounting, or security reasons.

6. Third-Party Services & Subprocessors

We use a small set of subprocessors to run the service, including cloud hosting, database, and email infrastructure providers. These subprocessors are contractually bound to protect your data and to only process it on our instructions.

Sendqube also integrates with services you choose to connect (Google/Gmail OAuth and third-party SMTP providers). Your use of those services is governed by their own terms and privacy policies.

We do not sell your personal data.

7. Cookies

Sendqube uses essential cookies to keep you signed in and maintain your session. We may use privacy-friendly analytics cookies to understand aggregate product usage. You can control cookies through your browser settings; disabling essential cookies may prevent parts of the product from working.

8. Your Rights (Access, Correction, Deletion, Export)

You can access, correct, export, or delete your personal data from your account settings at any time. If you are located in the EU/EEA, UK, or a jurisdiction with similar rules, you also have the following rights under the GDPR and equivalent laws:

  • Right of access to your personal data.
  • Right to rectification of inaccurate data.
  • Right to erasure ("right to be forgotten").
  • Right to restrict or object to processing.
  • Right to data portability.
  • Right to withdraw consent where processing is based on consent.
  • Right to lodge a complaint with your local data protection authority.

9. Children's Privacy

Sendqube is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top and, for material changes, notify you in-app or by email.
